Last updated: 9 November 2025
Introduction & Commitment
Vyntech Support Pty Ltd (“Vyntech”, “we”, “our”, “us”) is committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains how we collect, use, disclose, and protect your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website, services, or client portal, you consent to the practices described in this Policy.
What is Personal Information?
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable. Sensitive information is a subset of personal information that includes (for example) health information or biometric information. We only collect sensitive information with your consent or where otherwise permitted by law.
Information We Collect
We collect personal information that is reasonably necessary for our business functions. Depending on your interactions with us, we may collect: – Personal details: name, job title, company, email address, phone number, and billing/physical address. – Technical details: IP address, device and browser information, usage logs, and information collected via cookies and similar technologies. – Service‑related information: support tickets, troubleshooting records, configuration details, and, where applicable, login identifiers for systems we manage on your behalf. – Financial details: such as credit card or bank account details, if required for billing. We do not knowingly or intentionally collect personal information from individuals under 18 years of age.
How We Collect Information
We collect personal information: – Directly from you: when you contact us, request support, create an account, complete a form, or otherwise provide it to us. – Automatically: via our websites and portals (e.g., through cookies and analytics tools). – From third parties: such as your authorised representatives or from our service providers (e.g., Microsoft, Zoho, AWS) where necessary to deliver our services.
Why We Collect and Use Your Information (Purpose)
We collect, hold, and use personal information to: – provide, operate, and improve our managed IT and support services; – communicate with you regarding support requests, billing, and service updates; – configure, secure, and maintain the systems we manage for you; – comply with our legal and regulatory obligations; and – with your consent, send you marketing or service updates (you may opt out at any time). We do not sell your personal information.
Disclosure of Your Information
We may disclose personal information: – to our trusted service providers and sub‑processors who assist us in delivering our services (e.g., providers of hosting, email, ticketing, collaboration, backup, and security monitoring services); – to our professional advisers (such as lawyers and accountants) under confidentiality; – as required by law, regulation, or court order; or – in connection with a merger, acquisition, or business reorganisation.
Cross‑Border (Overseas) Disclosure
We use global, best‑in‑class cloud and SaaS providers to deliver our services. As a result, your personal information may be disclosed to recipients located outside Australia, including in the United States, the European Union, and Singapore (for example, to providers such as Microsoft, AWS, and Zoho). Where we disclose personal information overseas, we take reasonable steps to ensure that the overseas recipient does not breach the APPs in relation to that information, including by entering into enforceable contractual agreements (such as Data Processing Agreements) and conducting due diligence on the provider’s privacy and security controls (including whether they are subject to substantially similar frameworks, such as the EU’s GDPR).
Data Security and Retention
We implement technical and organisational measures designed to protect personal information we hold, including encryption, access controls, and secure authentication protocols, appropriate to the sensitivity of the information (such as client system credentials). We retain personal information only for as long as reasonably necessary for the purposes set out in this Policy or as required by law and then take reasonable steps to de‑identify or securely destroy it.
Notifiable Data Breaches (NDB) Scheme
We comply with the Notifiable Data Breaches (NDB) scheme under the Privacy Act. If we become aware of an eligible data breach (unauthorised access, disclosure, or loss of personal information likely to result in serious harm), we will promptly assess the incident and, if required, notify the Office of the Australian Information Commissioner (OAIC) and affected individuals.
Access and Correction (Your Rights)
You may request access to, or correction of, the personal information we hold about you by contacting our Privacy Officer. We will respond within a reasonable period (usually 30 days) and may ask you to verify your identity. If we decline a request (for example, where permitted by law), we will provide written reasons for our decision.
Cookies and Analytics
We use essential cookies for site functionality and optional cookies for analytics and marketing. You can manage preferences for non‑essential cookies via your browser settings or any cookie control tool provided on our website.
Direct Marketing
With your consent where required, we may send you marketing communications about our services. You can opt out at any time by using the “unsubscribe” link in the message or by contacting us as set out below.
